Privacy Policy

This Privacy Statement sets out NFPN's general policy in relation to protecting the privacy and confidentiality of personal information that we may collect.

The privacy provisions in the Privacy Act 1988 (Cth) (the Privacy Act) affecting private sector organisations came into effect on 21 December 2001. These provisions were developed in order to establish a nationally consistent approach to handling of personal information in the private sector. They also aim to ensure that organisations that hold information about people handle that information responsibly as well as give the public greater control over the way information about them is handled.

At NFPN protecting the privacy and the confidentiality of "personal information" is very important to us and is fundamental to the way we operate. We know that giving us personal information imposes a serious responsibility on us.

Our privacy policy has been developed in accordance with the National Privacy Principals contained in the Privacy Act. This Privacy Policy explains how we collect, use and handle all personal information we collect.

 

Collection of Personal Information

When people purchase products and services or us or otherwise opt in to receive information from us we collect a variety of data. In order to effectively provide information and resources we will request personal details such as: Contact Name, Mailing Address, Physical Address, Telephone Numbers, Fax Number, Email, Website, and Credit Card information (if make a purchase by credit card)

We also collect information on prospective clients. Unless otherwise stated at the point of collection, we collect data only for the purpose of informing the prospective client about the services of NFPN and, should we have a mailing address, sending out a copy of Not-for-Profit Management magazine.

Anyone can choose to provide only the information necessary to enable us to provide exactly the service requested. However this may mean that we are not able to provide that person with all of the benefits and services they may be entitled to.

Any person who no longer wishes to receive information from NFPN can elect to have their record either deleted or placed on a list of people who do not wish to be contacted.

Generally, NFPN will collect personal information only to the extent necessary to provide or promote NFPN services. Occasionally NFPN may be the recipient of a database as a result of sponsorship arrangements. However we endeavor to ensure that people on those databases have been made aware that their information will be passed on to ourselves.

We collect personal information by lawful and fair means and not in an unreasonably intrusive way.

 

Use and Disclosure of Personal Information

Generally we collect personal information in order to provide, or give access to, a particular service. The personal information we collect allows us to provide a better, more customised level of service. We may also use or disclose personal information for purposes related or ancillary to the main purpose for which we collect it and where such disclosure would be reasonably expected. Some examples are: Informing clients about our products and services, Providing services to clients, Identifying and contacting clients, Establishing and maintaining client records, Internal accounting and administration, and Regulatory reporting and compliance (ie: taxation law).

Should there be any other uses or disclosures then these will be conveyed at the point of collection. Should the data being collected be used in a manner contrary to the primary purpose of collection then NFPN will take all reasonable steps to inform individuals about how the information will be used, unless the use is exempt under a National Privacy Principal.

We sometimes outsource some of our internal functions and activities to other companies. In doing this we may disclose personal information, such as name and address details, to enable the service provider to undertake that particular function. Also, in order to effectively provide clients with the services and benefits for which they joined it may sometimes be necessary to distribute personal information within the NFPN or disclose it to other companies. These companies include, but are not limited to: Mailing Houses and Outsourced Service Providers

Our Privacy Policy requires that confidentiality agreements be in place specifically prohibiting these service providers from using or disclosing the personal information we have provided for any purpose other than the reason it was made available to them.

Should NFPN come into possession of personal information relating to a third party then that information will either be destroyed or the third party will be informed as soon as practicable of the possession of the information.

NFPN endeavors to keep clients and prospective clients up-to-date with information about NFPN products and services. However those wishing not to receive this information should contact us at the address listed below.

 

Data Quality

NFPN takes all reasonable steps to make sure that the personal information collected, used or disclosed is accurate, complete and up-to-date.

 

Data Security

NFPN undertakes to ensure the security of both the electronic and hard copy warehousing of personal data. Electronic data is held on a secure database. Hard copies of personal information are held under lock and key in a strong, secure filing cabinet. Only authorized personnel can access this information.

NFPN aims to ensure that personal data is protected from misuse, loss, unauthorised access, modification or disclosure. Personal information that is no longer required is destroyed by shredding or de-identified as appropriate. NFPN has developed systems to prevent unauthorised access to our premises, systems or physical storage locations. Data security systems are regularly reviewed and updated if appropriate.

 

Openness

NFPN adheres to the policy of openness. Should anyone wish to view any of their personal information that is stored by NFPN, or a copy of our Privacy Policy, then this can be requested at any time by contacting us at the address listed in the "For Further Information About NFPN and Your Privacy" section.

 

Access and Correction

Should anyone wish to access their personal data we will endeavour to make this information available within 30 days. Please be aware that, in some cases, there may be an exemption under the National Privacy Principles which would prevent us from providing the information. Should this happen then we will advise by written notification as to why the request has been refused.

Should someone feel that any of their personal information held by us is incomplete or inaccurate please notify us in writing immediately. We will then update the details or, should we not be in agreement as to the accuracy, completeness or up to date status of the personal information, we will include the objection in with the file.

 

Identifiers

NFPN identifies its clients and prospective clients by assigning them a number generated by their order of entry into our database. NFPN will not use identifiers assigned by a government agency or its agents, such as tax file or medicare numbers.

 

Anonymity

Wherever it is lawful and practicable NFPN will give individuals the option of not identifying themselves when entering into transactions with our organisation.

 

Transborder data flows

NFPN does not generally transfer personal information to foreign countries. In the event that we do so we will: transfer information only when satisfied that the data transferred will be subject to at least the same privacy requirements as Australia, get the individuals' consent, and ensure that the information is being transferred according to the National Privacy Principles relating to transborder data flows.

 

Sensitive Information

NFPN will not collect sensitive information about clients unless: the individual has consented; or the collection is required by law; or the collection is necessary for the establishment, exercise or defense of a legal or equitable claim.

 

Website

When you visit NFPN's web site our web server automatically recognises the name of the domain you access on the internet, the date and time you access our site and the internet protocol address of the web site you used to contact us. The level of information we obtain from you when you visit this site depends on what you do within the site.

This information enables NPFN to run tools that record usage and create statistics about our site. These statistics are used to evaluate and understand how our web site is used and for making improvements to the site. The information we receive via email is aggregated and informs us what pages have been visited. Voluntary information you provide to us in survey form for example is used internally within NFPN and will not be distributed to other persons or organisations.

Should you contact us via email or online forms, NFPN employees and business partners may use this information to make contact with you for marketing purposes. In no way will this information be distributed for commercial use to other persons or organisations.
